1. Who we are

Viberant is Viberant Limited, a company registered in the Republic of Cyprus under registration number HE377127, with its registered office at Metochiou 73, Office 102, 2407 Engomi, Nicosia, Cyprus.

Viberant Limited is the controller of the personal data described in this Policy. In this Policy, “Viberant”, “we”, “us” and “our” mean Viberant Limited.

We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Cyprus law that implements it, Law 125(I)/2018.

2. What this Policy covers

This Policy explains how we handle personal data when you visit viberant.co, request a business review, or otherwise contact us, how we handle the business contact details of the people we work with at our clients and suppliers and of businesses we contact about our services, and how we handle the personal data of people who apply to work with us.

When we process personal data on behalf of a client as part of delivering our services, that processing is governed by our agreement with that client, not by this Policy.

3. What we collect

Information you give us

• When you request a business review on our website: your name, your work email address and, if you provide it, your company name and a revenue range.
• Anything else you choose to include when you email or call us — for example your job title, phone number, or details about your business.
• If you are, or work for, one of our clients or suppliers: your business contact details and the information we need to manage the relationship, deliver services and handle invoicing.
• We only record or transcribe a call with you, to keep accurate notes, if everyone on the call agrees. We will always ask at the start of the call before starting any recordings. If you disapprove we won’t record the call.

Information collected automatically

This website does not use analytics, advertising or tracking cookies, and we do not profile your visit.

Our website loads a typeface from Google Fonts. When your browser requests that file, your IP address is sent to Google.

When your browser loads the website, our hosting provider receives your IP address and basic browser information as part of the normal technical connection.

Information we get from other sources

When we contact businesses about our services, we may use business contact details — such as a name, job title, work email address and company — that we find in public sources such as company websites and LinkedIn, or that we obtain from business-data providers. We use them only to contact you about services relevant to your business, and you can ask us to stop at any time. These are the only categories of data we collect this way: name, job title, work email address and company. If we contact you using details from one of these sources, we will tell you in our first message where we got them. You can object at any time, and we will stop contacting you and delete your details, keeping only a note that you asked us not to contact you again. Section 5 explains our legal basis and section 8 how long we keep these details.

What we do not collect

We do not ask for, and do not want to receive, sensitive information such as health data or personal information that is not related to our work collaboration. Please do not send it to us.

4. How our contact form works

Our form does not send your details to us directly and does not store anything on the website.

When you press “Request a business review”, your own email application opens with a pre-filled message addressed to info@viberantcorp.com. Nothing is sent until you press send in your own email application, and you can change or delete the message first. Once you send it, your email is received and stored in our business email system. You do not have to give us any personal data, but without your name and email address we cannot reply to your request.

5. Why we use your data, and our legal basis

• To reply to your request and arrange a call. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
• To record or transcribe a call, so we keep accurate notes. Legal basis: your consent, which you can withdraw at any time.
• To contact businesses we think may be interested in our services, using the business contact details described in section 3. We send a marketing email to a named individual only where the law allows it, which in most cases means with their prior consent. Legal basis: our legitimate interest in promoting our services to businesses (GDPR Article 6(1)(f)) for collecting and holding these details; and your prior consent before we send a marketing email to you by name, as Cyprus law (Law 112(I)/2004) requires. You can object at any time and we will stop.
• To provide our services and manage our relationship with clients and suppliers. Legal basis: performance of a contract.
• To send you marketing emails about our services. We do this only with your prior consent — except that, if you are a client, we may email you about services similar to the ones you have bought from us, as Cyprus law allows. You can opt out in every message, or at any time by emailing us. Legal basis: your consent or, for clients, our legitimate interest.
• To keep business records, handle invoicing and meet our tax, accounting and legal obligations. Legal basis: compliance with a legal obligation.
• To protect our business, prevent fraud, and establish or defend legal claims. Legal basis: our legitimate interests.

We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects on you.

6. Who we share it with

We do not sell your personal data. We share it only with:

• Service providers who host our website and email and supply the IT and software tools we use to run our business. They may only use your data on our instructions and must keep it secure.
• Our professional advisers, such as lawyers, accountants and auditors.
• Public authorities, courts or regulators, where the law requires it.

7. Transfers outside the European Economic Area

Some of our service providers, such as our email and hosting providers, may process personal data outside the European Economic Area, including in the United States. Where this happens, we rely on a European Commission adequacy decision or on appropriate safeguards such as the EU Standard Contractual Clauses. You can ask us for more information about these safeguards.

8. How long we keep it

• Enquiries, and business contact details we hold to contact businesses about our services, that do not lead to an engagement: up to 24 months from our last contact with you, then deleted — or sooner if you ask us to stop.
• Client and supplier records, including invoices and accounting records: for the length of the relationship, and afterwards for at least six years, as Cyprus tax, VAT and company law requires.
• Call recordings and transcripts: up to 24 months, then deleted.
• Longer, only where we need the data to establish, exercise or defend a legal claim.
• If you ask us to stop contacting you, we keep a minimal record of that request so that we can respect it.

9. Your rights

Under the GDPR you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data erased;
• restrict how we use it;
• object to our use of it, including an absolute right to object to direct marketing;
• receive your data in a commonly used format and have it transferred to someone else;
• withdraw your consent at any time, where we rely on consent. This does not affect anything we did before you withdrew it.

To use any of these rights, email info@viberantcorp.com. We will reply within one month. If a request is complex, we may need up to two more months, and we will tell you within the first month if so. We may need to confirm your identity first. Some rights have legal limits, and if one applies we will explain why.

You also have the right to complain to a data protection supervisory authority. In Cyprus this is the Office of the Commissioner for Personal Data Protection (www.dataprotection.gov.cy). If you live or work in another EU country, you can complain to the authority there. We would appreciate the chance to address your concern first.

10. Security

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss or disclosure. No system is completely secure, and ordinary email is not encrypted end to end, so please do not send us confidential or sensitive information by email unless we have agreed on a secure method.

11. Links to other websites

Our website links to other websites, including our LinkedIn and Facebook pages. We do not control these services. They have their own privacy policies, and anything you do on them is between you and them.

12. Job applicants

If you apply for a job with us — through our website, by email to info@viberantcorp.com, or through a job platform such as LinkedIn — we collect your CV, cover letter, contact details and anything else you choose to share with us, as well as notes from any interviews. With your permission, we may also contact the referees you give us.

We use this information only to consider you for the role you applied for, or for similar roles if you agree. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in recruiting the right people.

We may use software tools, including AI-assisted tools, to help us organise and review applications. Decisions about who to interview and who to hire are always made by people.

We keep applications for up to 6 months after the role is filled, then delete them. If you agree, we may keep yours for up to 3 years so that we can consider you for future roles. If you join us, we will tell you how we handle employee data.

13. Children

Our website and services are intended for businesses. They are not directed at children, and we do not knowingly collect personal data from children.

14. Changes to this Policy

We may update this Policy from time to time. The “Last updated” date at the top shows when it last changed. If a change is significant, we will tell the people we are in contact with.
